What personal data do we process?
Depending on how you contact us or use our website, we may process the following categories of personal data:
- Contact form: name, email address, phone number, message and company name.
- Quote form: name, company name, email address, phone number, address details and connectivity requirements.
- Partner form: name, company name, email address, phone number and description of the intended partnership.
- Business park management form: name, business park, email address, phone number and message.
- Postcode check: postcode and house number (not personally identifiable unless combined with other form data).
- CMS administrators: name, email address and hashed password (only for staff with access to the admin panel).
Why do we use your data?
We process your personal data for the following purposes (legal basis to be confirmed upon legal review):
- Responding to your contact request or quote enquiry (performance of contract / legitimate interest — to be confirmed).
- Processing partner and business park management requests (legitimate interest or contract — to be confirmed).
- Availability check at postcode level (legitimate interest).
- Administration of the CMS environment by staff (contract / necessity for internal system).
- Compliance with legal obligations.
Postcode check
When you use the postcode check, our server sends your postcode and house number to an external data source to verify availability. No personally identifiable data (such as name or email address) is transmitted. Check results are not stored systematically unless you subsequently complete a form.
Form data storage
Form submissions are not stored by default. If form storage is enabled via the application configuration, submissions are stored in encrypted form and only hashed technical metadata is recorded. The application operator determines whether storage is active; the default setting is off. Check with the operator to confirm the active setting.
Retention periods
Retention periods have not yet been formally established. Where storage is active, form data is retained until the purpose has been fulfilled or until you request deletion, unless a legal retention obligation applies. CMS session data expires after the configured session duration. This section requires further alignment with the privacy officer.
Recipients and processors
We do not share your personal data with third parties for commercial purposes. Your data may be shared with technical processors engaged for hosting, email delivery and infrastructure. We conclude data processing agreements with processors. A detailed list of processors must be established at legal review, in particular for hosting and email providers and any transfers outside the EEA.
Security
We take appropriate technical and organisational measures to protect your personal data, including encrypted transport (HTTPS), access controls and data minimisation. While we do our best, absolute security cannot be guaranteed.
Your rights
Under the GDPR you have the following rights:
- Right of access to your personal data.
- Right to rectification of incorrect data.
- Right to erasure ("right to be forgotten") under applicable conditions.
- Right to restriction of processing.
- Right to object to processing based on legitimate interest.
- Right to data portability where applicable.
- Right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
To exercise your rights, please contact us at info@forefiber.nl. The designated privacy contact point is to be confirmed upon legal review of this statement.
